To enhance signer identity verification (ensuring that the designated signer and the actual signer are the same person), you can set an access code (password) when sending documents.
If an access code is enabled, the signer (or viewer) will be required to enter the code to open the document.
The following access code settings can be turned on/off at the group level.
*These settings apply to all documents sent from the group.
How to Configure Settings
All access code–related settings can be managed by the Group Owner under:
“Team” → “Settings” → “Security Settings”
① Require access code for documents
Forces users to set an access code whenever they send a document.
Recommended for enhancing internal security and compliance.
*If “Require access code for documents” is turned off at the group level, users can individually enable or disable access codes when sending documents.
② Require access code to view
Allows you to require access codes not only for signers but also for viewers (CC recipients) when they open the document.
Reference: When “Require access code to view” is enabled, the behavior is as follows:
■ Signature Request Email
Signer: Access code included
Viewer (CC): Access code included
■ Completion Email
Signer: No access code included
Viewer (CC): No access code included
③ Autogenerate access code
Automatically generates an access code. You can manually edit it if needed.
*Generated codes contain 8–16 alphanumeric characters.
*If “Require Access Code” is turned off but “Automatically Generate Access Code” is on, the access code field will be populated by default when sending a document.
*Please note that users may unintentionally send documents with an access code.
④Auto-send access code to parties
Automatically sends the access code to the document’s signer.
Whether viewers (CC) receive access codes is controlled by Setting② (“Require access code to view”).
The email notifying the access code includes a button labeled “View Access Code”, which displays the access code.
*For security reasons, the access code can only be displayed once.
*If automatic sending is turned off, users must manually share the access code.
*If you wish to send the access code to a different recipient than the signer, turn off automatic sending and share it manually.
